September & October Edition

What’s New at Equip

This fall, we’ve focused on making everyday work easier—from sharing documents and bringing participant information into Equip to keeping pathways and forms organized. These updates help teams spend less time repeating administrative steps and more time using the information they collect to support participants.

More Ways to Manage Documents in Bulk

Sharing the same resources shouldn’t mean repeating the same steps for every person who needs them.

Teams can now select multiple documents from the global document library and share them with team members in one action. You can also upload the same document to multiple selected participant profiles at once, making it easier to distribute common materials without uploading each copy individually.

For example, when several participants need the same program handbook or resource guide, staff can add it to their profiles together. When team members need a collection of reference materials, those documents can be selected and shared as a group.

We’ve also expanded batch cleanup options for documents, participant notes, and routines, helping teams keep their workspace organized with less repetitive work.

More Complete Participant Imports

Getting participants set up in Equip involves more than adding names to a roster. Teams also need the details that help them communicate respectfully and know whom to contact when support is needed.

Participant imports now support emergency contacts, preferred names, and pronouns, reducing the information staff need to enter manually after profiles are created.

For organizations onboarding a new group or moving existing records into Equip, these additions mean fewer follow-up edits across individual profiles. Information already collected during enrollment can be included in the import rather than entered again.

The result is a more complete starting point for your team, with important contact information and personal preferences connected to each participant’s record.

More Flexibility When Organizing Pathways

Programs change over time. A service may fit better within a different pathway, or an existing step may become the starting point for a new program structure.

Teams can now move a configured pathway step to another pathway or into a new pathway, giving administrators more flexibility to organize services without rebuilding that step from scratch. This update supports maintenance of your pathway setup—it is different from moving a participant between services.

We’ve also added sorting options to the Pathways tab on participant profiles. For participants with multiple enrollments, staff can adjust the order to make the list easier to review.

Together, these improvements help teams maintain a clearer program structure and navigate participant pathways more efficiently.

More Control Over Forms and Their Connections

A form response is most useful when it is connected to the right participant and the services it documents. When an assignment needs to be corrected, recreating the response adds unnecessary work.

Authorized users can now update a form response’s participant and pathway associations where the response’s status and rules allow. This gives teams a way to correct eligible assignments while keeping the existing response, rather than asking someone to complete the form again.

We’ve also added more control over PDF exports. Teams can choose whether the form description appears in the exported document—keeping useful context when it belongs in the final record or leaving out instructions intended only for the person completing the form.

These changes help teams maintain better-connected records and produce documents suited to the people who will read them.

More Useful Information on the Equip Card

The information that matters most can vary from one organization to another. Standard profile fields don’t always capture every detail a program wants to make available through an Equip Card.

Support for eligible custom fields gives teams more flexibility to tailor the card’s content. Organizations can include relevant program-specific details alongside existing card information, rather than relying only on the standard fields.

As you review your Equip Cards, consider which details would genuinely help someone understand or support the participant. A focused selection can make the card more useful without overwhelming it with information better kept in the full participant record.

Along the Path

Meet the New Equip Mobile Experience📱

In August, we shared a preview of the new Equip mobile experience. This fall, we’re highlighting what that experience means for participants and the teams supporting them: more of Equip within reach throughout the day.

For staff working in the community, moving between appointments, or supporting participants away from a desk, mobile access helps keep schedules, communication, documents, and participant information close at hand.

For participants, the app brings together tools that support connection and everyday involvement—from checking what’s coming up to staying in touch with their support team.

The experience also includes practical improvements such as tappable links, phone numbers, and email addresses in messages, announcements, and event descriptions, along with more readable assessment choices.

As your organization prepares to transition, take a few minutes to review team members’ roles and permissions. The new app gives staff access to more of Equip, so the right permissions help ensure everyone can access the information and tools appropriate to their role.

Community Spotlight

Connecting With Our Community This Fall

September and October brought opportunities for our team to connect with the broader community at SOTA, OPRA, the DDA Conference on Aging, and the RAM Conference.

Spending time with the people and organizations doing this work is an important part of why we attend these events. They create space to build relationships, exchange ideas, and stay connected to the everyday realities of supporting individuals across programs and stages of life.

Those connections matter beyond the conference itself. Building tools that support meaningful outcomes starts with staying close to the people who use them—and the individuals they serve.

Thank you to everyone who took time to connect with our team this fall. Whether you’re already part of the Equip community or just getting to know us, we look forward to continuing the conversation.
